Dear Mr.Jones,

I am writing with regard to your comments about the problems the reception area has recently faced. As you told me, It is time for a change, because the number of complaints we are given about the situation is increasing.

I looked through out the customers' complaints and I found that most of them were unsatisfied with the huge crowds that are always standing in the queue. The other thing which was obvious in their letters was about the poor air-conditioning and insufficient benches and chairs to sit on.

Actually, the reception area is a key part of our company, as it can give the clients a good first impression. So, it seems vital for the company to take action for a change.

After thinking long and hard and consulting with some efficient staff, I came up with some practical suggestions. Firstly, it is necessary to employ two other receptionists to speed up the procedures everyday. In addition, changing the air-conditioning is a must and if you agree, I will ask one of my friends to do it urgently. At last, it would be a good idea to prepare the room located in back of the yard, as a place where people can sit and enjoy even a cup of coffee during the time they have to wait.
