Dear Sir or Madam,

This well considered letter is a formal request with regards to book a deluxe suit for my colleagues and I for the official business trip for two days in the capital of the city, New Delhi.

As to start, XYZ is a multinational Company and deals with Business Outsourcing, IT Infrastructure and Support. The company has its headquarters in Bangaluru, Karnatka. And also, it has various locations across the country and worldwide.

Moving to the crux of the matter, I would apprise you with the business trip details. As a starting point, the trip will last for 2 days and 3 nights from 15th-17th June, 2020. Secondly, please ensure all the electrical appliances in the room are not malfunctioned. Not only the appliances, however all the switch boards need to be in working condition with power backup. Additionally, a video conference room is to booked on our name during these dates without any disruptions to Wi-Fi and power outages. Lastly, the suits to be booked in the premier location with no noise interruptions and with do not disturb signage.

Moreover, the hotel should ensure timely pick and drops from the airport without any halts. Since, our days are per-planned with the stringent schedule, hence all are meals to be served as per itirenary attached to the email. Any delays to aforementioned will hinder us to make booking with your prestigious hotel.
