Dear Johnson,
Hope this letter finds you in good health. I am writing to you to inform that I am unable to pick you up from the airport on 2nd of November. I planned to pick you from Toronto Airport in my new car and made arrangements to drop you at hotel Holiday Inn. Unfortunately, I had to go for an official seminar to Paris during the same time. Please accept my sincere apologies.
Alternatively, I have planned few other ways for you to go to the hotel. One of my friends who knows English and French will come and pick you up from Airport. He will be holding the nameplate with your name. Additionally, I have shown your photo and he will pick up you promptly. I have shared your photo too. Your luggage will be collected from the Cargo. He will drop you at hotel Holiday Inn by 5 PM. Refreshments and dinner have been arranged for you at the hotel. Should you miss it for any reason, you can order from a nearby hotel. I will message you the number for your convenience. However, I will be in touch with you since this is your first time to Canada.
I will return back to Canada by November 3rd and I can spend a week with you. Please feel comfortable and don’t hesitate to ping me for any other details. Hope you understand my situation and my apologies again for not being here to receive you.
Yours’ sincerely,
Chitra.
