Dear Sir or Madam,
I am writing to inform you that I forgot some documents at your hotel after I returned from the meeting yesterday.
My company had an important meeting with one of our international clients, and it was held at the main conference room. When the meeting was over, we had a quick early dinner at the restaurant in the lobby. I must have left those papers in one of these locations where we stayed. The documents are filled in a blue file with a plastic cover.
I was the coordinator of the meeting, and I was noting down all minutes. However, soft copies are available into my laptop, those are original papers and have all signatures and stamps. It contains also confidential information related to our core business. The loss of such papers results in a huge disturbance to my current position in the company.
We realized that some security cameras were available at both locations. I would therefore request that you review the footage which were recorded during the meeting and dinner time, and that you check where are those documents left. It will be very helpful if you allowed me to watch the recordings to assist you and your team.
