– Describe how to get from the airport to his/her hotel.
– Describe the hotel he/she will be staying in.
– Describe the arrangement for the meeting.

Hi Pooja,
Hope you are doing great.

I am writing this to inform you regarding arrangements for your next week's meeting in our office.

We have booked one room for you in Nakshtra Hotel, Anand which is just 3 Kms away from Railway station. Once you will come out of station please take a cab or auto and reach to your hotel and tell your name there and they will provide you key of your room but just for your information your room number is 202. Hotel we have booked your room is 5 star hotel having very nice ambience and they are well know for their hospitality and food so I am sure you will enjoy your stay.

Once you reach the hotel, please be ready at 9 AM, I will reach there and joined you for breakfast and from there we both will go to office together for a meeting and then in the evening I will drop you at your room.

We have invited our stack holders, CEO, in this meeting as this is very important meeting for our organisation.

Please reach me with any query if you have once you read this letter.

Kind regards,
Divya
