Write a letter to your manager. In your letter:
 Describe the complaints that have been made
 Say why the reception area is most important
 Suggest how the area could be improved

Dear Sir/Madam,

I am writing this letter with regards to the complaints we received about our reception area over the fast few weeks from our visitors and would like to share my suggestions to address the problem.

As you may be aware, that a number of guests expressed their dissatisfaction with our company reception area due to the fact that it is not spacious and overcrowded. They also complain about the lack of proper sitting arrangements . Moreover, many of them exhibited their concerns that only one receptionist cannot address a great number of queries which causes delay.

Needless to say, the area where visitors arrive, and wait is extremely important as it represents the image of our company and gives the first impression of the organization.

As a solution, I would suggest that we need to extend our reception area by annexing the room next to it. Furthermore, it would be good idea to equip the place with an additional sofa set and a desk for visitors to use. Finally, we can also hire a second receptionist would be definitely advantageous.

I am looking forward to the changes being implement.

Yours Faithfully
XYZ
