Dear Mr. Debashish,
I am writing this letter to bring to your kind notice about the issues prevailing in our reception area and some possible ways with which it could be improved for betterment of the organisation.
The most common complaint about the reception is that the staff present in the area are unable to direct the visitors to the appropriate place which the visitors are supposed to visit. The other issue is that the staff are being rude to the outsiders, as they are not knowing who are they and the purpose of their visit.
Reception area is the most integral part of the organisation because an outsider first have to contact the reception before meeting the managements. Thus, if the reception staff are not polite and unaware about the visitors then it gives a bad impression of the company.
First and foremost method of improving the reception is to recruit a highly qualified and experienced staff for the area. Furthermore, the staff need to be given prior training on behavioural front and maintain a discipline in the organisation. Moreover, the company shall have it own policy on how to deal with the visitors in the absence of the senior management and a defined procedure to help them reach to the management.
