You cannot pick your friend up at the airport. Write a letter to him/her.
In your letter,
- You should explain the reasons.
- You should provide him/her with alternative ways to go to the hotel.
- You should inform him/her of your plan.
Dear Kareem,
It`s been so long since we have been together, and I hope you and your family are all well. I`m writing to inform you that i won`t be able to pick you up from the airport and apologizing for any inconvenience.
You may know that my son has completed his exams and got the testing results very positive. Therefore, I`ll attend his graduation ceremony on the same day of your arrival. My son will get his graduate certificate, and I cannot miss this special day. It is a sentimental moment to share with the family.
Alternatively, I have arranged a limousine service which will be waiting for you at the arrival terminal, but the driver does not know the address of your hotel where you will be staying, so please tell him all details. The service is chargeable, but I bear all the charges as an apology gesture.
My plan is that I will pass by the hotel right after the celebration is over with my family, and I intend to stay the whole night with you for chatting and remembering our old days. I would therefore advise that you have rest before catching up at the hotel.
Warm regards,
Ayoub
