You would like to participate in a work-related seminar in another country.
Write a letter to the person in charge of the seminar and ask for detailed information regarding the dates, program, accommodation and cost.
Dear Mr. Jones,
I recieved approval letter from world science society which approving my request to join a seminar on "World science, roadmap of next decade". In the letter, it has been mentioned that you will be single point of contact, in case participants seek more detailed information on the seminar. I am writing this letter to raise few queries which you may clarify.
First of all i would like to know about dates and duration of the program. In in initial advertisement, it was mentioned that tentative schedule will be in March 2021 and dates will be finalized after consulting participants. It will be great if seminar can be held either first or second week of march as March end is year end closing and generally very time for us. In addition, will there be any prior preparation required for the program for example - dress code etc, please inform me in advance such that i can prepare for it. Regarding accomodation, will it be individual room or twin sharing for fellow scientistis? Furthermore, will accomodation be near to seminar hall or we need to travel to get to the destination. Finally, i would like to know overall cost for whole program. I need a quote to get pre-approval from my department and get it budgeted for FY21-22.
Looking forward to your response on my queries.
Warm Regards,
Shailabh
