Write a letter to the hotel for making the arrangement. Let them know:
when you will be arriving and leaving
what type of rooms you would like and ask how much the weekend will cost
inquire about activities and places of interest near the hotel
Dear sir/madam,
I am Harry and writing this letter for inquiring and booking a double bedroom in your esteemed hotel. I got to know about your hotel through one of my dear friend who is a frequent visitor and probably a star member too.
I have booked a flight which is scheduled to reach there at 11 pm on Thursday (5th June). Probably I will be able to check-in by 11:30 pm same night as I verified on GPS that your hotel is not that far from the airport. I am planning to stay in the hotel for 3 days which includes the weekend too, as there are some conference meeting I have to attend.
Also I would like to mention if there is a possibility of getting a corner room with an attached balcony, I would prefer that. Along with aforementioned, if the room has an attached Laundromat that would be greatly appreciated. As I was a little confused about the charges of room when compared to weekday and weekend. Hence it would be very generous of you, if you let me know the total amount I have to pay along with the required bifurcation.
If you can guide me with any additional facility which your hotel provides, I would definitely like to run through them.
Lastly, as I would be visiting the city for the first time, it would be really helpful if you could suggest some nearby places to visit and some decent restaurants.
For any further comments or questions you can contact me at 111-111-1111. Thank you in advance for taking time and arranging all this for me.
your's sincerely
Harry
