Your friend had made a plan for you to see a movie together but you cannot join him. Another friend of yours is willing to go.
Write a letter to your friend. In your letter:
-explain why you cannot go anymore
-say who can go instead of you
-say why this person is a good person to go with
Dear Sahil,
I hope you are doing well. I know that you can't wait for our next meetup on coming Saturday. However, I would not be able to come because I am stuck up with a heavy load of work and you know that work comes first.
I have a meeting scheduled on Saturday morning out of our town in Vancouver. So, I'll be catching a flight on Friday afternoon to Vancouver and will be staying for the next seven days since I have to sign this new client with my firm. As you know, work is my number one priority to me, I have rescheduled our meetup once I'll be back.
I know we were going for a movie and you have already booked a ticket in advance, Since I couldn't come due to work, you can take my roommate Divya as she too had the same plans to see the movie, and the extra ticket which you bought for me will not be wasted.
Divya is just like you and you'll find out once you meet her. If you are comfortable with going along with Divya, I'll ask her to come along with you. Apart from that, you could spend an evening with her by going to a new restaurant in the town. Both of you are a foodie and would love to enjoy each other company. Once again, I am sorry for canceling at this point and I hope you understand the situation.
I can't wait to see you soon after my business trip.
Regards,
Shwatank
