There have been several complaints about the reception area where visitors to your company arrive. Your manager has asked you to suggest how the reception area could be improved.
Write a letter to your manager.
In your letter
• describe the complaints that have been made
• say why the reception area is important
• suggest how the reception area could be improved
Dear Sir,
I am writing this letter to outline the complaints received about the reception area from the customers and would like to put forward suggestions for improving the same.
Visitors have expressed their dissatisfaction not only with the overall space available but also the level of comfortability of the reception area. Moreover, they have raised their disappointment that there is only one receptionist who is not able to cater to the great number of queries and as a result, there is a delay and the place gets overcrowded. Furthermore, they are concerned about hygiene as the water container is not cleaned frequently.
The place where the visitors arrive and wait is extremely important as its portraits the image of the organization. Visitors generally form an absolute and positive image of the company if the reception area is cleaned and fragrant with ample space to sit and wait.
Taking into consideration, I would like to recommend increasing the space of the reception area; the water container should be cleaned and filled with distilled water every day. Additionally, one more receptionist should be appointed so that the complaints and the queries of the customers are handled effectively and efficiently.
I hope that you will look into the matter and will find my suggestions useful to keep our visitors’ complaint to the minimal.
Yours sincerely,
Prabhpreet Kaur
