You have eaten at a restaurant and it was such a terrible experience that you have decided to inform the manager by letter of what happened, and that you want your money back. Things to include:
1) Facts. You need to be concise but explain what happened.
2) Polite. No one responds to insults.
3) Outline what you wish from this. What do you want to happen?
4) Firmness. You want to be taken seriously.
Dear Sir or Madam,
This letter is a feedback with regards to the dinner I had at your restaurant on 29th September.
I had an awful experience at your restaurant while I was on a date with my fiancée. To begin with, the food that was served to us was cold and the meat was a bit stale. Despite the mix up while getting our order, the worst was the duty manager and his handling of the situation. Instead of remedying the mistake and apologizing for bad quality food, the fingers were pointed at us for confusing the waiter while ordering the items.
This is completely unacceptable as we are one of the old customers and this is not the standard of Sheraton that I have visited before. I’m writing this to bring the situation to your notice and ensure the service quality is not dropped further. I would like a written apology from the duty manager and refund of the bill. I could have gone online and submitted a feedback which would dent the restaurant’s image, but as a loyal customer and admirer of the service and food, I chose to take it up with higher authorities in good faith.
I trust this feedback is viewed as an opportunity to identify the service gaps and change how valued customers are treated. I hope there will be adequate measures taken up to prevent from such situations to be repeated. I look forward to hearing from you soon.
Yours faithfully,
Mihira
