Dear Tom,
Hope this finds you well as it has been with us in Halifax. I am writing with a deep sense of disappointment as I will, unfortunately, not able to keep to our scheduled plan of my visiting you for two weeks over this ensuing summer.
The recent past few months have been stressful for me on the work front as our business faced some unexpected challenges in terms of production quality control. While my annual leave to visit you in Toronto was fully approved, I am now entrusted with the daunting task of having to sort out the issue, at our factory facility in Alberta, during the same two week I had scheduled to visit you in July. I really wanted to be there with you on this wonderful trip we had painstakingly planned together - especially since it your big milestone 50th birthday but as it is with all our lives, work beckons!
I contemplate rescheduling the trip to August but unfortunately, I do not think that will also fructify either as the business trip I need to make is likely to take more than three week or perhaps even more.
I am tempted to schedule the closest possible date to visit you after this massive quality control operation is finished at our factory but I would like to err on the side of caution and budget for buffer time so I do not run into another episode of cancelling on our time together again. May I suggest spending Thanksgiving with you in November if that’s a possibility. If not, please feel free to suggest an alternative as spending time with you this year has been top on my wish list for this year.
Once again, I feel sad for having to do this but as they say, “c’est la vie!” Do convey my best to your wife and kids and let’s talk about this on phone over this coming weekend.
