Dear John,
I am writing this letter to provide suggestions on improving the reception area of our company.
Various complaints have been made by our clients and vendors alike. Most of them have mentioned that on arrival in afternoons, it suddenly seems very dark when they enter our reception area. Secondly, the place is not kept well as the paint is peeling off from many places. Also, there is limited seating available with visitors having to stand while waiting with no activity to do.
We should be well aware of how the above issues impact us. First impression is the most important for any company and when clients visit our office, they do feel discomfort at the initial point itself. And not only that, it also gives a negative perception to the clients about our reliability. I believe this might be the reason why we have not been able to convert new clients in the past few months!
Considering the nature of complaints, the foremost thing which can be done very quickly is getting the high voltage lightings fitted at appropriate places so that the area has good visibility. We should also re-paint the walls with bright colors so that it brings positive mood to the visitors along with giving a sense of space. Adding around 4 to 5 more comfortable seats with options of magazine and newspaper is something that will make the waiting time pleasant.
