You and your colleague want to use a company room. Write a letter to your manager and ask for permission.
In your letter, you should:
• explain why you need that room
• describe which room you need and why
• tell what changes will need to be done there.
Respected Sir,
I intend to write this letter to seek your usual support on an important matter. As you are aware I and Sam are working on a project named Crowdsourcing. In this project, we have to engage external customers quite often to gauge the pulse of the existing products of our company. Currently, we are facing a challenge in arranging different meeting rooms for customer interviews as sometimes facilities management team does not have any vacant room available at your required time and date.
In this regard, we want your approval for the permanent assignment of the customer integration lab until this project is executed. This would not only solve our room booking issue but also customers will feel privileged to be seated in a custom-designed room.
Furthermore, in order to make the room more appealing, we would like to suggest some changes. There should be round tables and more seating space to conduct customer focus group. Additionally, a camera should be installed in the room to monitor customer motion movements and also for recording the complete interaction for future reference.
We shall be grateful to you for your outright response to our request.
Yours Truly,
David
