Dear Pravin,
I highly appreciate your concern about the company’s well being and thank you to bring forward the complaints that you had been receiving about our reception area. It is alarming to know that so many visitors have been unhappy with it and I am writing to you to suggest some of the solutions to this problem.
I have personally gone through all the grievances and realise that a majority of them have been regarding cumbersome waiting time. This as I understand has been primarily due to two factors. Firstly, that the people are made to wait too long at the reception and secondly that the number of sofas and chairs to sit are not adequate.
The company’s reception is the first point of contact with its customers and as is said, First impression is the last impression. We therefore need to ensure that we are able to provide a wonderful experience to them the moment they enter the office.
To improve the situation, Please release a press note to appoint another receptionist. This may shorten the waiting time to the clients. Also, I give you a free hand to select sufficient number of sofas to ensure that people do not end up waiting while standing. Also make sure that water gets served to all of them as soon as they reach the reception.
I hope all of this should help reduce the complaints. But we need to get on the work immediately and improve the face of the company at the earliest. Also, feel free to write to me any time in the future and keep doing the good work.
