Begin your letter as follows:
Dear …………,
Dear Mr. Smith,
I am writing to let you know of the various complaints that we are receiving about our reception area for the past couple of weeks.
Let me explain in detail. During the past few weeks, most of the clients have raised concerns about hygiene conditions at the reception area. According to them, the area is mostly dusty with dirty floors. In addition, they have also been complaining about absence of support staff at the reception area.
Since you know that reception area is the first point of contact for our clients and is also responsible for the first impression that we have on them, therefore, it is very important that we take appropriate steps to address all these complains and work on improving this area.
I would suggest assigning a round the clock cleaning staff for this part of the office. This staff should be responsible for ensuring the cleanliness of the reception. Moreover, to cater for the increasing number of clients, the support staff should be increased. This will help in making sure that no client is left unattended.
I hope you will take these suggestions into consideration. I will be looking forward to your feedback on these.
Yours sincerely,
Naina.
