Dear Mr. John,
This is regrarding the recent objections made related to people gathering at the reception area. I would like to put forward some suggestions to resolve the situation and provide a noise and stress free environment to our guests and staff.
Let me describe my proposal in details. After analyzing the complaints, I understood that the greatest concern is the loss in productivity for senior executives working from their cabin besides reception, and attributing to an unplesant environment for the visitors. Obviously, the reception area is the most critical part of the office to greet people and route them to appropriate individual in the office, hence is essential to resolve this problem at the earliest. I have observed that it is the sales professions who visit our premises frequently and crowds the area, my suggestion is to bifurcate the queue by creating a separate and decacted entry for marketing and sales department, thereby isolating it form the main reception. This would limit the number of guests entering the common area which would provide a calm and quite enviornment for working.
Could you please review the detailed planned and the new layout proposal enclosed with the letter. It would be great, if you could kindly review and revert with your suggestions and improvements to implement the proposal.
I look forward to hearing from you soon.
Yours sincerely,
Mr. Tom Robinson
